Agree what the setup must do.

A useful CRM brief identifies the information your team needs, the person responsible for the next action and the evidence that would show the agreed setup works. Start with one buyer-enquiry path and one seller-enquiry path; add complexity only where your actual process needs it.

This is a planning resource. The examples are illustrative, not a live demonstration, imported snapshot or record of a client result. Completing it does not configure GoHighLevel or prove an automation works.

Separate the person from the opportunity.

HighLevel’s pipeline and opportunity guide ↗ describes the relationship between a contact, opportunity, pipeline and stage. Its custom-field guidance ↗ distinguishes fields attached to a person from fields attached to a particular deal.

  • Contact information: shared information about the person, such as their preferred contact method. Confirm what is already captured and who may update it.
  • Opportunity information: context for a particular buyer or seller requirement, such as a target area, budget range or property being discussed. Agree its object and meaning before creating it.
  • Source and next action: decide where the original enquiry source, assignment and next-action responsibility belong. Do not assume one field is suitable for every use.

HighLevel’s current documentation says a field’s contact/opportunity object cannot be switched after creation and that only contact fields appear in forms and contact workflows. A desired opportunity field therefore needs a supported capture/mapping route confirmed by the implementer; listing it here is not enough.

Build a source-to-field decision sheet.

Use one row per useful piece of information, not one oversized free-text field for every enquiry. The download supplies proposed planning rows; replace them with your agreed sources and names.

  • Source: name the actual website form, referral input or other proposed source. Keep compatibility TO_CONFIRM until checked.
  • Information: say what it means in plain language and whether it is needed for the first response.
  • Object and destination: record the proposed contact or opportunity field, its agreed name and supported mapping.
  • Missing or repeated input: agree what a person should do when information is missing, conflicting or received again. Do not assume a default duplicate rule.
  • Ownership: name the responsible role and a fallback role. Separate record assignment from who actually performs the next action.
  • Approval: identify who confirms the source, channel and message requirements. A contact preference is not proof of legal permission to send.

Every row starts TO_CONFIRM. This CSV is for local planning, not a HighLevel import file. Do not upload it to a CRM as contact data; it contains proposed labels, not lead records. Do not include passwords or personal customer details.

Two illustrative real-estate scenarios.

  • One person buying and selling: keep shared contact information consistent, while planning separate buyer and seller opportunity context where the approved account design supports it. The buyer requirement might record target area and budget range; the seller requirement might record the property to discuss and desired timing. Confirm the account rules and mappings before implementation.
  • A team buyer enquiry: preserve the source and property context, distinguish the person’s preferred contact method from the enquiry details, and agree which role responds if the intended agent is unavailable. Record an expected result and test it later in an authorized environment.

These are proposed planning cases. They do not claim a workflow ran, a notification was delivered or a customer was routed.

Define stages by observable actions.

Write each stage as name → entry evidence → responsible role → next action → exit evidence. For example, a proposed “Consultation arranged” stage should require an agreed appointment record, not a guess that the person is interested. Your team chooses its real stages; this is not a mandatory pipeline.

Distinguish a stage change from any message or task that might follow it. Agree whether each action is manual or automated, its trigger, stop condition and reviewer. Keep channels disabled until their actual prerequisites and approval requirements are resolved.

Prepare the setup and handover brief.

  • Business / team: the roles using the account and the decision-maker approving scope.
  • Fresh account: what is already connected, what remains unconfigured and which access invitations are needed through approved channels.
  • Lead sources: actual sources, proposed capture method and unresolved provider dependencies.
  • Fields: the agreed meaning, object, required/optional status and mapping for each input.
  • Pipelines: buyer/seller process, stage definitions and who owns the next action.
  • Follow-up: approved channels, messages, stop rules and prerequisites to confirm separately.
  • Acceptance: synthetic scenario, expected result, reviewer and evidence for each agreed function.
  • Costs and exclusions: implementation, software, usage and any separately quoted work.

Record results in the setup acceptance record ↗. A blank record is not evidence of a tested setup. Existing data migration or unsupported provider connections must not silently enter a fresh-account scope.
